Website, email list and text messages

What we collect

When you join our list, we collect the information you give us: your email address, and optionally your first name and mobile number. We also record when and where on the site you signed up, and whether you agreed to receive text messages.

How we use it

We use your email address to send news, event invitations, and offers from Phoenix & Folly. If you opted in to texts, we use your mobile number to send the same kind of messages by SMS. We don't sell or rent your information, and we don't share it with third parties for their own marketing.

Job applications

If you apply for a job, we collect your name, contact details, the positions you're interested in, anything you tell us, and your résumé if you attach one. We use it only to consider you for a job and to contact you about it, and we don't share it outside Phoenix & Folly except with the email service that delivers it to us.

Text messages

Message frequency varies, up to 4 messages per month. Message and data rates may apply. Reply STOP at any time to unsubscribe, or HELP for help. Consent to receive texts is not a condition of any purchase. Mobile numbers and opt-in consent are never shared with third parties or affiliates for marketing purposes. See our SMS terms.

Service providers

We use trusted service providers to store our list and send email and text messages on our behalf. They may only use your information to provide those services to us.

Cookies and advertising

Our site uses the Meta Pixel, which uses cookies to tell Meta (Facebook and Instagram) when you visit or sign up, so we can measure our ads and show them to people who might be interested. Meta's use of that data is covered by Meta's Privacy Policy. You can control ad personalization in your Meta ad preferences, and block cookies in your browser settings.

We also use Google Tag Manager and Google Analytics, which use cookies to measure how people find and use our site (for example, which pages are visited and how many people sign up). Google's use of that data is covered by Google's Privacy Policy, and you can opt out with the Google Analytics opt-out browser add-on.

Facebook and Instagram messages

How our messaging works

Many messages to our Facebook and Instagram accounts are answered by an automated assistant that uses our business information to respond to common questions, such as hours, location, and how to book. Our staff can see every conversation and may reply personally at any time. If you’d like to talk to a person, just say so.

What we collect

When you message us, we receive and store:

How we use it

We do not use your messages for advertising, and we do not sell or rent your information.

Automated replies and AI

The assistant creates replies using OpenAI’s API. To do this, your message and the recent conversation are sent to OpenAI along with our business information. Under OpenAI’s API data policies, this data is not used to train their models by default and may be retained by OpenAI for a limited period for abuse monitoring. Automated replies can occasionally be wrong; anything important, like a reservation, is confirmed by a staff member.

Who we share it with

How long we keep it

Conversation records are kept for up to 90 days after your last message and then deleted automatically. Reservation details that our staff copy into our reservation records are kept as part of our normal business records.

How we protect it

Messages are stored on systems we manage, protected by passwords and access controls, and only people who need them to respond to guests can access them.

Your choices

Unsubscribe from email using the link at the bottom of any message, or from texts by replying STOP. To ask us to delete your information, see Deleting your data below.

Deleting your data

To ask us to delete your information from our email list, text list, job applications or other records, email us at Hello@PhoenixAndFolly.com.

You can also ask us to delete the messages and information we have stored from your Facebook or Instagram conversations at any time:

We will delete your stored messages and conversation records within 30 days and confirm when it’s done. Deleting a conversation inside the Facebook or Instagram app removes it from your view but does not delete our copy, so please contact us as above.

Children

Our messaging is not directed to children under 13, and we do not knowingly collect their information.

Changes

We may update this policy. The effective date above shows when it last changed.
